Our client is looking for an efficient and enthusiastic Lettings Administrator to join their small and friendly team based in Chester. With a combined 20 years of experience in student house lettings, our client prides themselves on providing the very best service, whether you're a student tenant, a tenant's guarantor, or a landlord looking to let your student house.

As Lettings Administrator, you will very much be at the heart of the business and responsible for supporting the smooth running of the business and its success. You will provide administrative support within the lettings team to ensure all applications, documents, verification, and referencing are completed accurately and efficiently. You will have a fantastic work ethic and love to experience no two days being the same within your working environment.

You will ideally have experience of working in a similar position within the property industry or in as a busy administration role recently in another industry and are now looking to move into the exciting world of property with a bustling and thriving established firm.


Role:


The primary purpose of this role is to provide administrative support within the lettings team. As a first point of contact for the business, you will need to be able to build new relationships with ease. You will deal with all manner of lettings administration including preparing tenancy agreements, section notices, check in and check out reports, inventories, organising certifications, updating the website, dealing with repair and maintenance issues and much more.


Key Responsibilities:


  • Supporting team, reporting to the Sales Manager and Property manager
  • Liaising with tenants regarding all tenancy matters, including but not limited to; contract renewals, remarkets and end of tenancy processing, etc.
  • Be the first point of contact for enquiries from tenants via all mediums
  • Manage phone calls and emails
  • Manage reported repairs, including correspondence with tenants and contractors, ordering necessary materials/ replacements, through to completion
  • Organise, maintain and execute property inspections
  • Organise contractors and necessary persons for certifications
  • Maintaining all records and information ensuring everything is accurate, compliant, and up to date
  • Provide other general administrative support to the team
  • Managing Lead Enquiries (phoning applicants, booking in viewings etc)
  • Supporting the sales manager with daily office tasks; including but not limited to; social media updates and posts, viewings, creating contracts, office presentation and marketing, office maintenance, key system etc
  • Assist with viewing where required
  • Take the lead on certain areas of lettings such as remarkets and chasing contracts


Required Skills


  • Experience in a similar role or experience from within property management or estate agent
  • Excellent administrative and organisational skills
  • Excellent people skills to be able to deal with tenant and contractors
  • High levels of accuracy and attention to detail with the ability to multitask in a fast-paced environment
  • Self motivated with a can do attitude
  • Excellent telephone manner
  • Forward thinking with the ability to take ownership of your role
  • Proficient with technology and MS packages
  • MUST have a car that you can use for work - must be aware will have to use own car for work related tasks on occasions

  • You must be happy working within a smaller team and being a large contributor to a business that is ever growing
